Job Summary

Palladium is recruiting an Operations & Finance Coordinator (Pacific) in Dili to provide operational, administrative and organisational support to the Pacific-based team. The position is a locally engaged, full-time fixed-term role through 29 September 2028 and is open to applicants who already have the relevant country work rights. Visa sponsorship is not available.

About the Programme

The Pacific Australia Labour Mobility scheme enables workers from nine Pacific island countries and Timor-Leste to work in priority sectors in Australia. Palladium delivers the Pacific Labour Mobility Support Program for Australia’s Department of Foreign Affairs and Trade, supporting participating governments and workers to increase the benefits of labour mobility and reduce its risks. The role will also be the main liaison with the Labour Sending Unit for office operations and facilities management.

Key Responsibilities

• Coordinate financial administration, including expenditure reporting, reconciliations, fund forecasts, payment processing, petty cash, financial controls and audit requirements.
• Coordinate travel and logistics, manage assets and records, and support compliance with health, safety, insurance and security requirements.
• Oversee facilities, maintenance, procurement, security and workplace improvements through effective coordination with stakeholders and service providers.
• Support recruitment, onboarding, personnel administration and employee separations.
• Manage visa, work-permit and related employment documentation.
• Build constructive relationships across the programme and with government counterparts.
• Contribute to continuous improvement, onboarding and knowledge sharing while promoting an inclusive, respectful and collaborative workplace.

Qualifications and Experience

• Tertiary qualifications in a relevant discipline, or an equivalent combination of education and relevant experience.
• At least five years of experience in logistics and administration, particularly in a support function within a large organisation.
• Demonstrated knowledge of office-management systems and procedures.
• Practical procurement experience; exposure to government procurement is preferred.
• A strong understanding of the full procurement cycle.
• Strong relationship-management skills and the ability to work across a wider team and with external stakeholders.
• Analytical thinking, proactive problem-solving and strong written and verbal communication.
• Well-developed organisational skills, agility and the ability to prioritise several tasks and work under pressure.
